How Intapp clients simplify and elevate their email marketing with Dispatch

We recently hosted a panel with Intapp clients to discuss how they use Dispatch, a marketing automation tool that allows firms to create, launch, and track email campaigns in Intapp DealCloud. With Dispatch, even the smallest marketing teams can quickly build sophisticated email campaigns and measure performance within the context of their relationship and pipeline data.

The panel included representatives from four DealCloud clients including private equity firm CD&R, law firm Robins Kaplan LLP, an Am Law 100 law firm, and a leading investment management firm. Here’s a recap of the top Dispatch benefits shared by panel participants.

Accelerates campaign creation with notifications

Dispatch fast-tracks email campaign creation by automatically sending task notifications to the right team members when it’s time to take action — complete with all the details they need.

For example, prior to using Dispatch, the Am Law 100 firm’s marketing team had to stop and coordinate roles for every email campaign request. Now, each team member has an assigned role in Dispatch, and receives a notification when it’s their turn to complete a task.

When a new event is created within DealCloud, for instance, a notification is triggered to build a Dispatch campaign page. It’s automatically sent to the team member assigned the role of “page creator,” and includes all the information needed to build the page, including target recipients and proposed send dates.

By making it clear who needs to do what and when, Dispatch helps the law firm’s marketing team set up and execute campaigns substantially faster.

Centralizes all processes and campaigns within one platform

Dispatch simplifies email campaign creation by allowing teams to manage every step of every process within the tool. This is especially beneficial for small marketing teams with limited resources, which can work more efficiently by eliminating the need to switch between multiple platforms.

A marketing professional at Robins Kaplan who oversees Dispatch described how her “small but mighty” team uses Dispatch for everything from gathering campaign requirements and setting up emails to managing testing and coordinating reviews. She also noted how Dispatch makes it easy to manage the firm’s media library, adhere to their style guide, and use a trusted senders list to ensure email deliverability.

In addition, a CRM manager from CD&R noted that prior to using Dispatch, there was a lack of visibility into which professionals were sending emails to which contacts and when. As a result, contacts received multiple emails within short time periods, leading to disengagement.

Now that all email campaigns are managed within Dispatch, CD&R professionals can see exactly who received which emails and when — allowing them to be much more thoughtful and strategic with their outreach.

Eliminates manual work

Automation is another big benefit of Dispatch. It logs every campaign interaction, and can automatically trigger email sends based on specific events or workflows. Dispatch also makes it easy to create and maintain recipient lists by automatically pulling real-time contact data from DealCloud. This can save teams significant time that can be reallocated to more strategic work.

The investment management firm’s investor relations team experienced this benefit firsthand. Their panelist explained that before Dispatch, sending mass emails was a manual, time-consuming process that involved extracting distribution lists from spreadsheets, then manually copying and pasting email addresses into email drafts.

Now that the firm uses Dispatch, pulling distribution lists and sending emails are automated processes that take minutes instead of hours.
