Introducing faster, smarter document categorization to Intapp Terms

Law firms can spend countless hours on a critical but time-intensive process: identifying and cataloging client requirements during new business intake.

That’s why, way back in 2017, Intapp introduced an AI feature in Intapp Terms that identified and categorized terms of business. It helped document reviewers easily access and validate those terms, as well as quickly create follow-up tasks and reminders.

But depending on how many individual client requirements are within a document, validating those terms can still take a lot of time. With LLMs reaching maturity in recent years, we saw an opportunity to solve this operational challenge with two major enhancements to Intapp Terms that fundamentally transform document review workflows.

Our completely reengineered AI-assisted categorization and brand-new AI auto-acceptance feature eliminate bottlenecks that have made contract processing costly and time-consuming. Now, legal professionals no longer have to spend copious amounts of time training AI to accurately identify firm-specific contract terms. And they no longer have to manually validate every AI-identified term before they can be surfaced and enforced within other firm applications.

Advanced contract processing without the bottlenecks

Enhanced AI categorization model

Using LLM technology, our reengineered AI categorization engine identifies and extracts contractual terms with dramatically higher accuracy — and dramatically less training.

Previously, firms needed extensive training data before AI could reliably identify custom term types. Now, practice leaders can configure term templates using just one example term, and the enhanced model will immediately begin identifying comparable terms with improved precision.

Users can establish different confidence thresholds based on term criticality. Routine confidentiality terms might only need minimal oversight, while indemnification clauses might require higher confidence levels before automation kicks in.

The same term can also trigger different actions across your integrated Intapp tools. For instance, Intapp Time may send a lawyer a notification when Intapp Billstream blocks invoice approval.

AI auto-accept

Our new AI auto-accept feature eliminates the need for upfront manual validation during document processing. Instead, users can simply upload a document and Intapp Terms will automatically identify, extract, and categorize terms that your firm has designated as low-risk or non-objectionable. These terms are then made immediately available in your terms list and active in Intapp Terms.

Intapp Terms provides complete audit trails, as well as clear visual indicators to show which terms were auto-processed. Analysts can easily review, verify, or modify any extracted term at any point — not just before the contract becomes operational. This means legal teams can start working with contract intelligence immediately, while still maintaining control over validation timing.

Extracted terms also automatically integrate directly with other integrated applications. For example, Intapp Time and Intapp Billstream users will see these terms applied to billing guideline compliance and time entry validation.

Getting started

Both the enhanced AI categorization model and AI auto-accept feature are generally available for Intapp Terms cloud clients as part of our fall release on November 15, 2025. With minimal training requirements, automated validation, and enhanced document processing workflows, this new release will help your firm reduce typical services implementation costs while accelerating time-to-value.

Here are the steps to enable the new release: 

• The enhanced AI engine is controlled by a single feature flag on the Admin > System page. Existing Intapp Terms users can enable this checkbox at any time to activate both the reengineered AI categorization model and make auto-accept capabilities available.  
• Once enabled, all English-language documents you upload will be processed by the new AI model. Administrators can go to Admin > Terms and enable auto-accept for specific term templates by checking the auto-accept option for each template where they want this new user experience.
