PLMJ’s primary priorities include enhancing systems and processes for onboarding new clients and matters, with a focus on ensuring compliance and managing risk. Phase 1 will center on streamlining conflicts checks, a critical component of risk management. Phase 2 will address additional key areas, including anti-money-laundering (AML) and customer due diligence (CDD) reviews, as well as broader risk assessment initiatives.

Prior to implementing Intapp Conflicts, the firm’s processes for conflict clearance, client onboarding and risk management were manual and fragmented, leading to inefficiencies, delays and increased risks of human error.

For example, conflict clearance involved time-intensive email communication and manual checks, and it lacked integration with sanctions lists, politically exposed persons (PEPs) lists and other external data sources. Likewise, onboarding processes for AML and CDD were disjointed, reducing speed and scalability.

  • Risk mitigation: The firm can now automatically track conflict exceptions using categorized smart tags, enabling quicker, informed board decisions and targeted actions for high-risk scenarios.
  • Enhanced verification and client protection: Conflict resolution time has been reduced from weeks to just 2.6 weekdays on average, with compliance pre-clearance taking only an average of 0.87 weekdays. This ensures sensitive and confidential requests are handled promptly.

A methodical and collaborative approach to implementation

To implement Intapp Conflicts, PLMJ collaborated with Intapp implementation partner ROOX, which provided valuable insights into PLMJ’s processes. PLMJ’s and ROOX’s implementation approach was methodical and collaborative. They began by mapping PLMJ’s current processes and then iteratively co-created the future state in close consultation with multiple stakeholder groups across the firm.  

Engaging senior leadership early on ensured top-down support, which was critical in driving broader acceptance. Comprehensive training sessions were conducted to equip leaders, managers and the board with the skills and knowledge to utilize the new platform effectively.
